This Privacy Policy explains how ReachRoller ("we", "us", "our") collects, uses, and protects your information when you use our platform at www.reachroller.com. We are committed to being transparent about our data practices.

1. Information We Collect

1.1 Account Information

When you create an account, we collect your name, email address, and authentication credentials through Clerk, our authentication provider. Your plan status and role are stored as metadata associated with your account.

1.2 Usage Data

We collect data about how you use the platform, including:

  • Prospecting runs performed (markets selected, number of results, leads found)
  • Feature usage (outreach notes generated, exports performed)
  • Monthly usage counters (runs used, outreach notes used)
  • Last active timestamps

1.3 Lead Data You Generate

When you run prospecting searches, data about YouTube channels (names, subscriber counts, publicly available emails, video information) is stored in a private, isolated database assigned exclusively to your account. This data is sourced from YouTube's public API and publicly accessible web pages.

1.4 API Keys (Agency Plan)

If you are on the Agency plan and provide your own API keys (YouTube, AI provider), these are stored securely in encrypted form and used solely to fulfill your requested operations within the platform.

1.5 Payment Information

Payment processing is handled entirely by Paddle. We do not store your credit card number or payment details. We only receive transaction confirmations and subscription status updates via webhook.

1.6 Google OAuth (Optional)

If you choose to connect your Google account for Sheets export, we request the following Google OAuth scopes:

  • drive.metadata.readonly: to list your Google Sheets files so you can select which spreadsheet to export leads to. We only read file names and IDs — never file contents.
  • spreadsheets: to append lead data (channel name, email, subscriber count, outreach notes) to your selected Google Sheet.

We store your OAuth access token and refresh token in encrypted form. These tokens are used solely to perform export operations you explicitly initiate. We do not read your emails, calendar, or any other Google data. We do not share your Google user data with any third parties. Google OAuth tokens are permanently deleted when you disconnect your Google account or delete your ReachRoller account.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the ReachRoller platform
  • Enforce subscription limits and plan entitlements
  • Process payments and manage billing through Lemon Squeezy
  • Send transactional emails (account confirmation, billing receipts)
  • Monitor platform health and prevent abuse
  • Analyze aggregate usage patterns to improve features

We do not sell your personal data to third parties. We do not use your data to train AI models.

3. Data Storage and Security

Your lead data is stored in a dedicated, isolated Turso cloud database assigned exclusively to your account — no other user shares your database. Account metadata is stored in a secure administrative database.

We use industry-standard security practices including encrypted connections (HTTPS/TLS), secure credential storage, and access controls. API keys are stored in encrypted form.

Our infrastructure is hosted on Vercel (application) and Turso (databases), both of which maintain their own security certifications and compliance programs.

4. Third-Party Services

ReachRoller integrates with the following third-party services:

  • Clerk — Authentication and user management (https://clerk.com/privacy)
  • YouTube Data API v3 — Channel discovery (Google Privacy Policy: https://policies.google.com/privacy)
  • Paddle — Payment processing (https://www.paddle.com/legal/privacy)
  • Turso — Database hosting
  • Vercel — Application hosting
  • OpenAI / Google Gemini / Anthropic / xAI / DeepSeek — AI processing (your data may be sent to these providers to generate AI scoring and outreach notes)

Each of these providers has their own privacy policies. We encourage you to review them.

5. AI Processing

When you use AI features (channel scoring, outreach note generation), channel data including channel name, subscriber count, video titles, and channel descriptions is sent to an AI provider for processing. For Free, Starter, and Pro plans, this uses our platform AI key (OpenAI by default). For Agency plan users with BYOK enabled, this uses your own API key and goes directly to your chosen provider.

We do not send your personal account information to AI providers — only anonymized channel data related to your search.

6. Data Retention

We retain your data for as long as your account is active. If you delete your account:

  • Your lead database is permanently deleted within 30 days
  • Your account metadata is removed from our systems
  • Connected Google OAuth tokens are revoked and deleted

You can request deletion of your data at any time by contacting us at support@reachroller.com

7. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict certain processing
  • Export your lead data (available via CSV export in the platform)

8. Cookies

ReachRoller uses cookies and local storage for authentication session management (via Clerk) and theme preference storage. We do not use advertising cookies or tracking pixels.

9. Children's Privacy

ReachRoller is a B2B service intended for adults 18 and older. We do not knowingly collect personal information from minors. If you believe a minor has created an account, contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice in the platform. Continued use of the service after changes constitutes acceptance of the updated policy.
